Purpose Statement

 

The job of Nutrition Services Specialist is done for the purpose/s of providing support to the delivery of nutrition services with specific responsibility for a wide variety of complex and confidential administrative support duties for programs that provide services district-wide; compiling, establishing and maintaining records for payable and free and reduced accounts; reconciling processing all accounts receivable and payable for all cafeteria vendors; and responding to inquiries from District personnel, parents and outside agencies

 

This job reports to Director of Nutrition Services.

 

Essential Functions

  • Compiles data from a variety of sources (e.g. free and reduced meal applications, eligibility status, powerschool enrollment software, bid proposals, invoices, etc.) for the purpose of processing information needed for Board agendas, required reports and other documentation.
  • Maintains a variety of records, files, and documentation (e.g. free and reduced meal applications, vendor invoices, period end sales reports, powerschool enrollment reports, vendor spreadsheets, Board agenda items, website, etc.) for the purpose of providing an up-to-date reference and audit trail.
  • Participates in meetings, workshops, and seminars as assigned for the purpose of conveying and/or gathering information required to perform functions.
  • Performs general and program specific clerical functions (e.g. greeting visitors, screening calls, enter vendor invoices, processing vendor statements, scheduling, copying, etc.) for the purpose of supporting departmental activities.

  • Prepares a variety of correspondence, reports, and other materials (e.g. parent letters for decisions on free and reduced meal applications, vendor invoices spreadsheet, period end sales figures, powerschool enrollment reports, Board agenda items, menus on website, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
  • Processes a variety of documents and materials (e.g. free and reduced meal applications, vendor invoices, student account credits, vendor monthly statements, etc.) for the purpose of completing activities in a timely manner and complying with financial, legal, or administrative requirements.
  • Researches discrepancies of financial information and/or documentation (e.g. student eligibility, student accounts, vendor invoices, meal equity changes, Mosaic software issues, school meals reimbursements, etc.) for the purpose of ensuring the accuracy and adhering to established procedures prior to processing.
  • Responds to inquiries from a variety of internal and external parties (e.g. visitors, callers, parents, vendors, Head Start administrators, cafeteria managers, etc.) for the purpose of providing information, resolving issues and/or referring to appropriate staff.
  • Supports assigned administrator for the purpose of implementing new programs such as Farm to School and providing assistance with his/her functions and responsibilities.
  • Troubleshoots issues with current department software applications (e.g. Mosaic, My School Clients, My School Apps, Point of Sales system, etc.) for the purpose of providing immediate assistance to users for problem resolution and recommending software changes to facilitate program needs.

Skills, Knowledge and Abilities

SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: applying District, state and federal policies and regulations; operating standard office equipment; preparing and maintaining accurate records; planning and managing projects; and utilizing pertinent software applications.

 

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: codes, regulations & laws related to the job functions; and concepts of grammar and punctuation

 

ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with a variety of data; and utilize job-related equipment. Responsibility

Responsibilities include: working under direct supervision using standardized routines; leading, guiding, and/or coordinating others; tracking budget expenditures. Utilization of some resources from other work units is often required to perform the job's functions. There is a continual opportunity to have some impact on the organization’s services.

 

Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing. This job is performed in a generally clean and healthy environment.

 

Experience: Job related experience is required.
