Purpose Statement:
The job of Administrative Assistant I - Assistant Superintendent of Equity and Student Services was established for the purpose/s of providing a wide variety of complex and confidential administrative and secretarial support to the Assistant Superintendent of Equity and Student Services; conveying information regarding department functions and procedures; ensuring efficient operation of support functions; and coordinating assigned projects and activities.
This job reports to Assistant Superintendent of Equity and Student Services
Essential Functions • Attends department and/or in-service meetings for the purpose of conveying and/or gathering information required to perform functions. • Coordinates a wide variety of projects, functions, and/or program components (e.g. meetings, in-service events, travel and accommodations, etc.) for the purpose of ensuring arrangements are completed in an efficient and timely manner.
• Maintains a variety of manual and electronic documents, files, and records (e.g. financial records, reports, schedules of appointments, calendar, facility files, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements. • Orders a variety of supplies and materials for the purpose of ensuring items are available when needed.
• Prepares a variety of correspondence, reports, and other materials (e.g. purchase orders and Visa purchase records, Board Reports, Secondary Handbook information, meeting minutes, letters, memorandums, flyers, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information. • Represents assigned administrator in his/her absence for the purpose of conveying and/or gathering information related to the function of the administrator and the department.
• Responds to a wide variety of inquiries from internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties, and/or providing direction. • Schedules a wide variety of activities (e.g. appointments, meetings, travel reservations/ accommodations, etc.) for the purpose of making necessary arrangements for assigned administrator.
Other Functions • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit. Job Requirements: Skills, Knowledge and Abilities (Minimum Qualifications) Skill-Based Competencies required to satisfactorily perform the functions of the job include: operating standard office equipment; using pertinent software applications; preparing and maintaining accurate records; and accurate typing. Knowledge-Based Competencies required to satisfactorily perform the functions of the job include: commonly accepted office application software and machines; codes/laws/rules/regulations/policies; bookkeeping/accounting practices; English grammar/punctuation/ spelling/vocabulary; and office equipment/software. Ability-Based Competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; meeting deadlines and schedules; working with detailed information/data; and ability to interact with the public and employees in a courteous manner.
